Personal Assistant to the Ambassador

The Embassy of the Republic of Fiji in Washington D.C. is seeking expressions of interest for the position of “Personal Assistant” to the Ambassador.

As the personal assistant to the Ambassador, you will be in charge of ensuring a functioning infrastructure for the Ambassador. Your tasks include managing his daily agenda, organizing official trips, support for high-level visits and invitation management, among other things. You will keep contacts of all key Government and private agencies in the U.S., Canada and Mexico.

The successful applicant must be able to demonstrate highly-developed communication skills (preferably in the English language) and be willing to work out-of-hours when required. All locally engaged employees of the Embassy must have a valid working visa in the U.S. and provide a local police clearance prior to commencement of employment. The main duties of this position are:

  • Provide executive assistance to the Ambassador, including managing the Ambassador’s diary, phone calls, business and travel details, leave schedule and correspondence.
  • Organize Ambassadorial and Embassy events, including creating guest lists and invitations, managing RSVPs, arranging event logistics, greeting guests and ensuring the overall smooth running of such events.
  • Promote a positive image of Fiji including assisting in developing the Embassy’s annual program of public diplomacy and cultural events and managing the Embassy's generic correspondence and inbox.
  • Assist in organizing official visit programs, arranging appointments, coordinating program logistics, (visas, flights, and hotel bookings and other logistics as required), greeting officials, visitors and responding to queries.
  • Assist with incoming diplomatic visa requests and advise on protocol matters.
  • Keep a contact list of all key agencies and maintain regular contacts with them.
  • Assist in the preparation of expenditure reports.

Selection Criteria
To be considered for the role, you must possess the following:

Knowledge and Experience:

  • A good first degree in business administration from a recognized university.
  • No less than 3 years’ experience in managing the office of high-level executives
  • Previous experience in a highly confidential work environment would be an advantage.
  • A valid driver’s licence

Skills and Abilities:

  • Confidence to advise, follow-up and provide support to diplomats and key agencies’ contacts. Ability to liaise with people at a number of levels and to foster internal and external client relationships.
  • Proven ability to successfully manage logistically complex events, provide creative promotional ideas.
  • Excellent administrative and organizational skills with the ability to follow through while working as part of the Embassy team.
  • Well-developed communication, negotiation and interpersonal skills - both written and verbal.
  • Strong research skills and proven ability to use the internet, the media and other publicly available sources of information. Proficiency in Microsoft Office packages – Word, Excel, Outlook and PowerPoint.
